RentWorks (“RentWorks”, “we”, “us”, or “our”) is a property and rental management software application developed and operated by Oribicom Limited.

This Privacy Policy explains how we collect, use, store, protect, and disclose information when you use the RentWorks mobile application, web application, this website (rentworks.pro), and related services (collectively, the “Service”).

By using RentWorks, you agree to the practices described in this Privacy Policy.

1. Information we collect

Depending on how you use RentWorks, we may collect the following categories of information.

1.1 Account information

When you create or use a RentWorks account, we may collect:

  • Name, email address and phone number
  • Password or authentication credentials
  • Company or organisation name, country, address and other company information
  • Account and subscription information

If you use a third-party authentication service, such as Google Sign-In, we may receive information provided by that service, such as your name, email address, and account identifier, subject to the permissions and settings of that service.

1.2 Property and rental information

RentWorks allows users to manage property and rental information. This may include property names and addresses; buildings and units; unit numbers; property descriptions; rental rates; occupancy information; tenant information; rental agreements; lease dates; rent due dates; invoices; receipts; payments; deposits; expenses; property-related notes; and maintenance or other property-management information.

Users are responsible for ensuring that they have the appropriate authority and legal basis to enter personal information about tenants, occupants, employees, contractors, or other individuals into RentWorks.

1.3 Financial information

RentWorks may process financial information necessary to provide accounting, billing, rental-management, invoicing, reporting, and subscription-management functionality, including invoice information, payment amounts, transaction references, payment dates, account balances, expense information and subscription information.

Where payments are processed through third-party payment providers, payment-card information may be collected and processed directly by those providers. RentWorks does not intentionally store complete payment-card numbers unless specifically required and securely supported by the applicable payment provider.

1.4 Device and technical information

When you use the RentWorks mobile application or web application, we may collect technical information such as device type, operating system, application version, browser type, IP address, general device and connection information, error and crash information, and login and authentication information.

This information may be used to maintain security, diagnose technical problems, improve performance, and operate the Service.

1.5 Information you provide

We may collect information you voluntarily provide when you create an account, create a property, add a tenant, create a rental agreement, create an invoice, record a payment, record an expense, contact support, submit feedback, communicate with us, or subscribe to a paid service.

2. How we use information

We use information collected through RentWorks to:

  • Provide and operate the RentWorks Service
  • Create and manage user accounts
  • Manage properties, units, tenants, and rental agreements
  • Generate invoices, receipts, and reports
  • Process and manage subscriptions and payments
  • Provide customer support
  • Authenticate users and maintain account security
  • Detect and prevent fraud, abuse, and unauthorised access
  • Diagnose errors and technical problems
  • Maintain and improve the Service
  • Communicate important service-related information
  • Comply with applicable legal and regulatory requirements

We do not sell your personal information to third parties.

3. Tenant and third-party information

RentWorks is a business tool that allows account holders to store information about other people, including tenants, occupants, employees, contractors, and customers.

The RentWorks account holder is responsible for the information entered into their account and for ensuring that its collection and use complies with applicable privacy and data-protection laws.

If your personal information has been entered into RentWorks by a property owner, landlord, property manager, or other RentWorks customer, you should generally direct requests concerning that information to the organisation that collected it.

4. How we share information

We may share information only when necessary to operate the Service or where legally required.

Service providers

We may use trusted third-party service providers for services such as cloud hosting, database infrastructure, authentication, email delivery, SMS delivery, payment processing, application distribution, security, error and crash monitoring, and technical support. These providers may process information on our behalf and are expected to protect information appropriately.

Legal requirements

We may disclose information when reasonably necessary to comply with applicable law, respond to lawful requests from authorities, protect our rights or property, investigate fraud or security incidents, protect users or the public from harm, or enforce our agreements.

We do not sell personal information to advertisers or data brokers.

5. Payments

RentWorks may provide payment functionality through third-party payment providers. When you make a payment, relevant transaction information may be provided to the applicable payment provider to process the transaction.

Payment providers may have their own privacy policies and terms governing the processing of payment information. RentWorks does not control the privacy practices of independent third-party payment providers.

6. Data storage and security

We take reasonable technical and organisational measures to protect information stored through RentWorks against unauthorised access, unauthorised disclosure, loss, misuse, alteration, and destruction. These measures may include access controls, authentication mechanisms, secure communications, server security, and other safeguards appropriate to the nature of the information.

However, no internet-based system can be guaranteed to be completely secure. Users are responsible for maintaining the confidentiality of their account credentials and should notify us promptly if they believe their account has been compromised.

7. Data retention

We retain information for as long as reasonably necessary to provide the RentWorks Service, maintain user accounts, maintain business and transaction records, provide customer support, resolve disputes, prevent fraud and abuse, and comply with legal, accounting, or regulatory obligations.

When information is no longer required, we may delete or anonymise it in accordance with our retention practices and applicable legal requirements.

8. Account and data deletion

You may request deletion of your RentWorks account and associated personal information by contacting us at info@rentworks.pro with the subject “RentWorks Data Deletion Request”. Please provide enough information for us to identify the relevant account and process the request securely.

Certain information may need to be retained where required by law or where reasonably necessary for legitimate business purposes, such as preventing fraud, resolving disputes, maintaining transaction records, or complying with accounting and regulatory requirements. Where information is retained, it will continue to be handled in accordance with applicable privacy requirements.

9. Children's privacy

RentWorks is a business and property-management application and is not directed toward children. RentWorks does not knowingly collect personal information from children for the purpose of providing the Service.

If you believe that a child has provided personal information to us without appropriate consent, please contact us so that we can investigate and take appropriate action.

10. Cookies and similar technologies

The RentWorks web application may use cookies, local storage, session technologies, or similar technologies where necessary to authenticate users, maintain sessions, remember settings, maintain security, improve application functionality, and diagnose technical issues.

The mobile application may use local device storage or similar technologies to support application functionality.

11. Third-party services

RentWorks may integrate with or use third-party services to provide specific functionality. Depending on the version and configuration of RentWorks, these services may include authentication providers, cloud infrastructure providers, payment providers, communication services, application distribution services, and other technical service providers.

Third-party services operate under their own terms and privacy policies. Where applicable, users should review the privacy policies of those services.

12. International data transfers

Depending on the infrastructure and service providers used by RentWorks, information may be stored or processed in countries other than the country in which you live or operate your business.

Where information is transferred internationally, we take reasonable steps to ensure that appropriate safeguards are applied in accordance with applicable data-protection requirements.

13. Your privacy rights

Depending on your location and applicable law, you may have rights regarding your personal information, which may include the right to request access to personal information; request correction of inaccurate information; request deletion of certain information; request restriction of certain processing; object to certain processing; request a copy of certain information; and withdraw consent where processing is based on consent.

To exercise applicable rights, contact us using the information below. Because RentWorks customers may enter information about their own tenants and customers, some requests may need to be directed to the RentWorks customer that originally collected the information.

14. Business account responsibility

RentWorks is primarily intended for businesses, landlords, property managers, and other organisations. Where an organisation uses RentWorks to store information about tenants, employees, customers, or other individuals, that organisation is responsible for:

  • Determining what information it collects
  • Ensuring that it has an appropriate legal basis for processing the information
  • Providing appropriate privacy notices to individuals
  • Maintaining accurate information
  • Managing access to its RentWorks account
  • Complying with applicable privacy and data-protection laws

15. This website

This marketing website (rentworks.pro) is separate from the RentWorks application (app.rentworks.pro).

  • No tracking. The website does not use advertising or analytics trackers and does not set cookies. Its fonts and images are served from our own server.
  • Contact form. If you use the contact form, we receive the name, email address, and message you enter, plus any optional phone number and company name. We use this only to reply to you and keep it as ordinary business correspondence.
  • Server logs. Like most websites, our web server may record technical information such as IP address, browser type, and pages requested, for security and troubleshooting.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to RentWorks, our services, legal requirements, or privacy practices. When we make material changes, we may update the effective date shown at the beginning of this Privacy Policy and provide additional notice where appropriate. We encourage users to periodically review this Privacy Policy.
